This Privacy Policy explains how KLO Technical Services Limited, trading as KLO Development Services ("we", "us", "our"), handles personal data in connection with the KLO Development Manager application ("the App"). KLO Development Manager is a private, internal business tool used by KLO Development Services and individuals we specifically authorise. It is not offered to, or intended for, the general public.

1. Who this policy is for
This policy applies to the authorised users of the App (our staff and others we permit to use it) and to individuals whose personal data may appear in the third-party information the App retrieves — in particular, people named in publicly available UK company records.
2. The data the App handles
2.1 Information you enter
When you use the App to record development sites, projects and related work, you may enter information such as site names and addresses, location coordinates, landowner and agent contact details, planning history, notes, photographs and documents. Some of this may be the personal data of third parties (for example, a landowner's name and contact details) where you have chosen to record it.
2.2 Information retrieved from third-party sources
The App can retrieve information from external data services to support site appraisal and due diligence. These sources, and the data involved, are:
Planning constraints — retrieved from the Planning Data platform operated by the UK Ministry of Housing, Communities and Local Government (planning.data.gov.uk). This is geographic and policy data (for example, green belt, flood risk zones, conservation areas) and does not generally identify individuals.
Company ownership information — retrieved from Companies House. This includes information about companies and about people connected to them, such as persons with significant control. This is personal data, but it is information that Companies House already makes available to the public.
Where the App retrieves company ownership information, the personal data involved is limited to what Companies House publishes — typically a person's name, the month and year of birth, nationality, country of residence and the nature of their control over a company. The App does not retrieve, and Companies House does not publish through this route, a person's full date of birth or residential address.
2.3 Technical information
When the App connects to the external services described above, standard internet connection information (such as IP address) is necessarily shared with those services in order to make the request. That processing is carried out by the relevant data provider under its own terms and privacy arrangements.
3. How and why we use the data
We process this data for our legitimate business interests in identifying, appraising and managing potential development opportunities, conducting due diligence and keeping records of our work. Specifically, we use it to:
record and manage development sites and projects;
check planning constraints affecting a location;
understand the ownership and control of companies connected to a site;
prepare reports and appraisals; and
maintain an internal history of our activities.
Our lawful basis for processing under the UK GDPR is legitimate interests (Article 6(1)(f)) — namely the proper conduct of our property development and land business. Where the information consists of public company records, we rely on the fact that the data has been made public by Companies House under statutory transparency requirements.
4. Where the data is stored
Information you enter into the App is stored on your device and, where you have signed in to iCloud, synchronised to a private database within our Apple iCloud / CloudKit environment that is accessible only to authorised users of the App. Information retrieved from third-party sources is cached within the same storage so that it can be displayed without repeated requests.
We do not operate a separate server that collects your data, and we do not sell or share the data in the App with advertisers or other third parties for their own purposes.
5. Data sharing
We do not share the personal data held in the App except:
with the third-party data providers named above, only to the extent necessary to make a data request (for example, sending a location or company number to retrieve a result);
with Apple, as the provider of the iCloud / CloudKit storage and the platform on which the App runs, under Apple's own terms;
where we are required to do so by law, or to establish, exercise or defend legal claims.
6. How long we keep it
We keep information for as long as it is needed for the purposes above. Site records captured in the field are treated as temporary and are removed automatically after a defined period unless promoted into a project. Project records are retained as part of our business records. Cached third-party data is refreshed or replaced when you request an update. You can delete records within the App at any time.
7. Your rights
Under UK data protection law, individuals have rights in relation to their personal data, including the right to access it, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to processing, and to data portability. To exercise any of these rights in relation to data we control, contact us at klo@klodevelopmentservices.co.uk.
Where the personal data in question is part of the public Companies House register, please note that we are not the source of that data and cannot alter the public register. Requests to correct company information held on the register should be directed to Companies House. We can, however, address how that information is used or retained within our App.
You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
8. Third-party sources and their terms
The third-party data displayed in the App is governed by the terms and licences of its providers, and your use of that data through the App is subject to them:
Planning data is provided under the Open Government Licence v3.0 and is subject to Crown copyright and database rights. © Crown copyright and database rights. This information is licensed under the Open Government Licence v3.0.
Company information is sourced from Companies House and is subject to Companies House's terms of use.
9. Children
The App is a business tool and is not directed at, or intended for use by, children.
10. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last revised. Material changes will be communicated to authorised users.
